Coordinator Vendor Management (Contracted Services) reporting to the Supervisor of Contracted Services, responsible for managing vendor performance, work orders, and service delivery across HVAC, Electrical, Mechanical, Door Systems, and building repairs contracts. The role ensures contractual obligations are met, resolves vendor disputes, and provides financial oversight through estimate and invoice reviews.

Key Responsibilities

  • Implement and maintain vendor performance scorecards with Facilities Management staff
  • Review and coordinate purchases by evaluating suppliers on quality, pricing, and delivery timeliness
  • Evaluate vendors for compliance with contractual terms, performance metrics, and conduct root cause analysis of underperformance
  • Resolve vendor disputes and non-conformance concerns through contract negotiations
  • Develop strategies based on KPIs to improve service delivery, customer satisfaction, and cost reduction

Qualifications

  • Post-secondary education in Business Administration, Building Systems, Facilities Management or equivalent combination of education and experience
  • Considerable experience managing vendors and service contracts in large public or private sector organization
  • Considerable experience resolving vendor disputes, non-conformance, and facilitating contract negotiations
  • Considerable experience managing, maintaining, assessing and reviewing data, standards and services to identify best practices and establish KPIs
  • Valid Province of Ontario G Driver's License
