The Town of Huntsville seeks an experienced Executive Assistant to provide confidential administrative and governance support to the Mayor, Chief Administrative Officer, and Council. The role manages complex schedules, correspondence, events, and serves as liaison among elected officials, staff, and community stakeholders.
Key Responsibilities
Manage complex calendars, meetings, events, travel arrangements and competing priorities
Prepare agendas, briefing materials, correspondence, reports and executive presentations
Coordinate meetings involving Council members, senior leadership, government representatives and community stakeholders
Track constituent matters, correspondence, emerging issues, commitments and follow-up actions
Conduct research and prepare summaries to support executive decision-making
Qualifications
Post-secondary diploma or degree in Office Administration, Business Administration, Public Administration, Communications, Political Science, or related field, or equivalent education and experience
Minimum five years of progressively responsible executive or senior administrative experience, preferably in municipal, public sector, governance or politically sensitive environment
Advanced proficiency with Microsoft 365 applications and experience with electronic records management, digital workflows and meeting management systems
Strong knowledge of municipal government structures, Council-administration relationships, records management practices, privacy legislation and customer service principles
Valid Ontario Class G Driver's Licence and access to reliable transportation
